What happens after you send the reservation form

A coordinator reads every request by hand. No automated booking, no instant charge. Here is the sequence we follow, with the time each step usually takes.

1. Step 1 · within 24 hours

   We confirm the seat and the group

   You get an email with your trip code, the current group size, the transport leg, and the per-person price broken into transport, accommodation and coordinator share.

2. Step 2 · 24 to 48 hours

   You place a deposit hold

   We hold your place for five days from the moment you answer that email. Status on the trip list then reads Deposit hold. If the reply does not arrive in time, the place returns to Open and we let the next person in the queue take it.

3. Step 3 · before departure

   Names, passport details and full payment

   Send the names exactly as they appear in the passports, plus dates of birth for the age check. The balance is due ten days before departure. Once it clears, the trip row moves to Closed and the seat is yours.

4. Step 4 · 3 days out

   Travel pack and meeting point

   Your pack holds the boarding times, the accommodation address, the group chat invite and the phone number of the coordinator on duty. Bring a printed copy of the confirmed itinerary.
